Invoices arrive by email, one here, one there, and get lost in the inbox. In February your accountant asks for the supporting documents and you spend an evening digging.
This flow watches a dedicated mailbox, files every PDF invoice under a name that starts with its date — so it sorts itself — and adds a row to the spreadsheet. In the evening it writes you what it did.
It does not read inside the PDFs. The number and amount are written as « to check », and you fill them in. That is deliberate: an invented figure that looks like a measurement enters the books and never leaves. The documentation says what filling them automatically would cost.
And it writes to you even on days when nothing arrives. A silent flow is indistinguishable from a broken one.
What's in the box
- The n8n flow file, ready to import
- Seven notes inside the flow, one of them on the only node that really matters
- Setup documentation written for someone who has never opened n8n
- A daily digest that also names what was skipped, and why
- A table of common failures, sorted by symptom
It does not read inside the PDFs: number and amount are filled in by hand. It does not detect duplicates, pays nothing, and is not accounting software.
What the flow touches
- It reads
- The unread emails of the dedicated mailbox you point it at, and their PDF attachments.
- It writes
- The PDFs into your storage folder, one row per invoice in your spreadsheet, and a daily digest to your address.
- What leaves your instance
- Nothing leaves your instance. No server of mine is called.
What you get
The flow file, the setup documentation, and nothing else. No account to create, no section to unlock. You download it, it is yours, and it stays yours.
Support included
If the template will not import, or if a node in the delivered file does not behave as the documentation describes, write to me: that is my work and I fix it. Not included: adapting it to your case, configuring your accounts, debugging your instance, and getting it running again after an n8n update. Those are real questions — they belong to an engagement, not to the price of a file.
Who installed it before you
Nobody other than the author has yet installed it by following the documentation. While that is true, this template is not for sale.
